What does standard order follow-up cover?
| Stage | Follow-up work | Who needs to help |
|---|---|---|
| Sale confirmation | Check the item, quantity, price, stock and order status | Seller and stock holder |
| Dispatch coordination | Notify the agreed dispatch provider and check dispatch and tracking information | You, your warehouse or our agreed dispatch provider |
| Shipment tracking | Review tracking, record exceptions and coordinate supporting information | Dispatch provider and shipping service |
| Delivery and completion | Follow delivery, order completion and aftercare status | Seller and the relevant responsible parties |
| Closing record | Deliver the handling record and reconcile follow-up fees and open issues | You and the service operator |
What needs a separate scope?
Your quote specifies whether packing, warehouse dispatch, buying shipping, return inspections and dispute documentation are included. Coordinating dispatch does not mean we physically hold or ship every item.
For an existing order, we review its current status, previous issues and our starting point before agreeing responsibility.
How exceptions are handled
| Situation | Agreed approach |
|---|---|
| Client or buyer cancellation | Record when it happened, check whether cancellation is possible, and account for work and costs already incurred |
| Buyer return | Confirm return arrangements, address, shipping costs and inspection provider; record item and payment changes |
| Shipment delay or loss | Keep tracking and handover evidence and coordinate the relevant parties as agreed |
| Description issue or dispute | Review original photos, descriptions, messages and handover records; confirm reply permissions and additional work |
| Aftercare still open | Record outstanding actions, owners and the remaining scope before marking the order complete or funds payable |
What happens to unsold items?
For listing-only services, the existing stock holder keeps unsold items. At the end of sales management, agree renewal, removal or handover. If we hold stock, storage periods, collection, return shipping and charges are agreed separately. Donation or disposal is never assumed.
Common questions
Does follow-up end when delivery is confirmed?
Delivery alone does not define completion. The service agreement sets the endpoint and what happens if a return, refund or dispute remains open.
When can I be paid if a buyer requests a refund?
This depends on the channel order and payout status, the refund or dispute outcome and your agreement. A sale or delivery confirmation is not a promise of immediate payment.
Do exceptions always cost extra?
We first check the agreed scope. Work outside it is explained and priced for your approval before additional charges are incurred.
